Boys & Girls Club of Pasadena is pleased to announce a new online facility request and rental

system designed to provide a positive user experience for all. With the new system, reservation

requests can be submitted easily and will be handled more efficiently. Renters will be able to

access photos and descriptions, see real-time availability, get estimated quotes and pay online.


In partnering with Facilitron, Boys & Girls Club of Pasadena has launched custom facility use

sites for the district and each school – allowing facility use requests to be submitted at any time.

Although the process of requesting/approval/management of facility use is now digital, what’s

implemented on Facilitron, remains the same as dictated by Boys & Girls Club of Pasadena’s

board policies on facility use. The district’s administrative staff makes final decisions on all

facility use requests.


Facilitron will assist with the set-up of organization and user accounts along with verification of

non-profit status (if applicable). Facilitron will also collect payment and proof of insurance

(certificate of insurance) on Boys & Girls Club of Pasadena’s behalf. Payments can be

submitted conveniently on Facilitron. Payment options include major credit cards, checks,

ACH/eCheck, and Paypal. Proof of insurance (certificate of insurance) can also be

conveniently uploaded into the system, and/or it can be obtained directly through Facilitron.


The new Facilitron system is now live for all sites. Moving forward, the only way to request

use of a district facility is by creating a Facilitron account and submitting a request

online. Please click HERE for an introduction to placing a request. For those who had

reservations with Boys & Girls Club of Pasadena prior to Facilitron, accounts have already been

created on your behalf, and an automated email has been sent to you to create a password to

access your renter account. If you need any assistance setting up an account and/or in

Rules and Requirements for all Facilities Rentals


Safety and Security

Safety for all is the Boys & Girls Club’s first priority.


  1.  No one renting gyms or pools are allowed to go through the main buildings, or go into the main buildings at any time, other than for the leader to open the appropriate door, and to use the restrooms (at the M-S building).
  2. The front door to each facility must remain closed at all times. If using a space other than a gym or pool, if members of a group need to enter through the front door, someone must be stationed at the door to let them in. At no time should the front door be propped open and unsupervised. 
  3. Upon departure from the facility, all doors in the facility must be securely closed and locked. Do not assume there is a renter coming into the building after your group departs. 
  • If you are the last renter off the property, make sure the main gates are closed.



Hours and Rental Locations

Adherence to the Rental Agreement is essential.


  1. Renters are required to stay in the space agreed upon in the Rental Agreement, and during the hours specified.
  2. No group members are authorized to roam throughout the facility or use another room that has not been agreed upon in the Rental Agreement. 
  3. Guests should not arrive at the facility early or enter the facility until the designated time has begun. There are BGCP members in the facilities each day until 7:00 p.m. Also, group members must not congregate at the front door as this causes an emergency exit issue.
  4. At no time should any members of any rental group utilize any BGCP equipment such as telephones, computers, televisions, etc., without prior approval.


Cleanliness and Maintenance

Help BGCP maintain our facilities in good repair.

 

  1. Renters must help maintain the premises in excellent repair at all times, including thoroughly cleaning up all areas used during a rental period. All trash should be dumped appropriately and replacement liners used to fill empty trash bins.
  2. Keep the parking lot free from trash and debris.
  3. There is no smoking allowed in any facility or parking lot.
  4. If something is in need of repair, please notify BGCP staff at the earliest convenience. 
  5. No animals, other than service animals, are allowed inside or around any facility. 


General Use of Space and Courtesy to Others

BGCP is happy to share our facilities with our local community. We expect all tenants and their group members to exhibit the highest standards of integrity and common courtesy in adhering to all Rules and Requirements for use of the facilities.


RENTAL PAYMENTS.  Payments can be submitted conveniently on Facilitron. Payment options include major credit cards, checks, ACH/eCheck, and Paypal prior to building occupancy. Rental Check payments shall be made to PO Box 1935, Los Gatos, CA 95031-1935. If rental payments are not received by their due date, Tenant may be denied access to the Premises and the Rental Agreement may be terminated. If any sum due from Tenant is not received by Facilitron when due, then without any requirement for notice to Tenant, Tenant shall pay to Facilitron a late charge equal to five percent (5%) calculated annually of the overdue sum.

NON–SUFFICIENT FUNDS. Tenant shall be charged $35 for each check that is returned for lack of sufficient funds.

SECURITY DEPOSIT.  At the time of the signing of this Lease, Tenant shall pay in trust, a security deposit of $200 to be held and disbursed for Tenant damages to the Premises (if any) as provided by law.


POSSESSION:  Tenant shall be entitled to possession on the first day of the term of this Agreement, and shall yield possession to Landlord on the last day of the term of this Agreement, unless otherwise agreed by both parties in writing.



USE OF PREMSIES. Tenant may use the Premises only for the following purposes: diving lessons. Tenant may not sell anything on the Premises. The Premises may not be used for any other purpose without the prior written consent of Landlord. Tenant shall notify Landlord of any anticipated extended (over 30 days) absence from the Premises not later than the first day of the extended absence. Tenant must stay in assigned rental room (i.e., gym, Education Center, pool, etc.) during the time of rental. Tenant may also not use the property outside of agreed upon time. If Landlord becomes aware of usage outside of designated time or space, the lease may be terminated.

 

All technology is the property of the Boys & Girls Club of Pasadena. Any damage, loss or theft to the equipment will be the responsibility of the Tenant if the damage, loss or theft occurs during stated rental hours. 

 

Prior written permission must be obtained before any use of the Boys & Girls Club of Pasadena technology including but not limited to: telephones, computers, printers, scanners, copy machine, and alarm system.

 

Tenant will be asked to pay the Boys & Girls Clubs of Pasadena the full cost for all repairs and/or replacement of any BCGP property damaged by Tenant within 30 days. 

 

MAINTENANCE. Tenant shall have the responsibility to maintain the Premises in excellent repair at all times. All Tenants shall clean up areas used during rental. All trash will be dumped and replacement liners will be used to fill empty bins. Replacement liners will be at the cost of the Tenant. Please treat the Boys & Girls Club of Pasadena’s property with respect. Facility is given in good condition and should be returned in same fashion
